We are seeking a highly organized Business Development & Proposals Coordinator to support the growth of our strategic communications and consulting firm. This is a full-time, remote, long-term position open to candidates based in the Philippines. In this role, you will research new business opportunities, coordinate proposal development, and manage the administrative and operational systems behind our business development efforts. You will play a critical role in helping us identify and pursue new contracts, particularly with government agencies, foundations, and large institutions. Success in this role requires exceptional organization, strong written communication skills, and the ability to manage complex deadlines across multiple contributors.
Opportunity Research
- Identify and research new business opportunities, RFPs, RFQs, and grant opportunities
- Monitor government procurement portals, industry listservs, and opportunity databases
- Prepare concise summaries of opportunities, including scope, deadlines, and recommendations on whether to pursue
Proposal Coordination
- Organize all administrative functions of proposal development
- Prepare outlines and proposal development plans
- Track deadlines and milestones for each proposal
- Create and manage proposal timelines in Asana
- Coordinate internal contributors and ensure deadlines are met
- Communicate with issuing agencies regarding questions, clarifications, and submissions
Proposal Development Support
- Draft selected sections of proposals
- Format documents and ensure compliance with submission requirements
- Coordinate signatures, forms, attachments, and required documentation
- Manage final packaging and submission of proposals
Business Development Operations
- Maintain the company's pipeline of active opportunities
- Develop and maintain proposal content libraries
- Maintain formatted staff resumes and case studies for proposals
- Track proposal submissions and outcomes
Administrative Compliance
- Maintain business certifications and licenses required for proposal eligibility
- Manage company registrations in procurement systems and vendor portals
- Maintain access credentials and compliance requirements needed for submissions
Required Skills and Experience
- 1–3 years of experience coordinating proposals or RFP responses
- Strong research and analytical skills
- Excellent written English and strong business writing skills
- Exceptional organization and attention to detail
- Ability to manage multiple deadlines simultaneously
- Proficiency with Google Docs, Microsoft Word, and PDF formatting
- Experience with project management software, Asana strongly preferred
- Ability to read and interpret complex instructions and requirements
- Based in the Philippines
Preferred Experience
- Experience supporting government proposals or grants
- Experience in consulting, communications, marketing, or professional services
- Familiarity with U.S. government procurement portals (SAM.gov, Cal eProcure, GSA)
- Proposal writing experience
- Resume and proposal formatting experience
- CRM discipline and familiarity with SharePoint or similar systems
